TERMS AND CONDITIONS

1)    Payment: The hire fee and deposit (if applicable) shall be paid by the hirer on the signing of this agreement. The deposit will be returned to the hirer within seven days of the ending of the period of hire the village hall reserving the right to deduct from the deposit the cost of repairing or replacing damage to the premises or contents or to the playing field caused or of the consequences of any breach of these special conditions during the period of hire. Should the hirer cancel within seven days prior to the date of hiring the deposit shall be forfeited.

2)    Use of the premises: The hirer shall use the premises only for the purpose described within the times booked and will ensure that

a)    no damage is caused to the fabric and contents of the premises

b)    the safety and good behaviour of those present during the event

c)    there is no undue noise

d)    the trolley is used for moving chairs (note: only 7 chairs per stack)

e)    at the end of the period of hire tables and chairs are put away in the storeroom, crockery and kitchen equipment is cleaned and put away and the dishwasher emptied, and cooker switched off

f)    decorations and fittings are removed, the floor swept [but not washed] and rubbish put in the appropriate receptacles

g)    food hygiene regulations are complied with, and food and personal belongings are removed

h)    the event ceases no later than midnight and that the premises are cleared of people by 12.30 p.m.

 3) Use of the playing field: The hirer must be adequately insured both as to public liability and accident and shall ensure that the surface is not damaged and will not to use the playing field if in the opinion of the playing field supervisor [whose decision is final] weather conditions make its use unsuitable and to remove litter at the end of the hire period. Vehicular access to the playing field is not permitted except with prior permission.

 4)  Fire precautions: The hirer shall avoid any activity or use of the premises which may be a fire hazard and familiarise him/herself with the location of the fire extinguishers and the fire exits [which must be kept clear at all times and the whereabouts of which those present at the event must be informed] and of the fire drill. No smoke machines permitted.

 5)  Smoking: is not permitted in any part of the building nor in the outside areas.

 6)  Licences and lotteries: The Village Hall holds a premises licence no. PRL 833. The hirer shall comply with the conditions of the village hall’s premises licence and ensure that there is no contravention of the law relating to gambling, betting and lotteries. The hirer is responsible for any insurance that may be needed for the event.

7)  Electrical equipment: no electrical appliances shall be brought onto the premises except with the consent of the booking secretary who may require the hirer to pay a charge if additional electricity will be used. The hirer shall ensure that any such appliance is safe and in good working order.

 9)  Children: The hirer shall ensure that any children present at the event are either in the company of a family member or of a suitably qualified person.

 10) Animals: with the exception of guide dogs, no animals are allowed on the premises.

 11) Accidents and injuries: in the event of any person sustaining an injury during the event, the hirer shall indemnify the village hall against any third-party claim and shall make a written report of the occurrence to the booking secretary.

 12) The village school: There is no access to the school property at any time by the Hirer.  

13) Covid: We retain the right to close the hall if there are safety concerns related to Covid 19. If this is necessary, we will do our best to inform you promptly and you will not be charged for the hire.
